The advantages of group flight bookings is (generally, depending on the airline) you don't have to give the names straight up so if someone changes their mind you can sell it to someone else, without losing the deposit. As you are only paying a deposit you don't pay the lot up front, there is some flexibility. But do shop around not all airlines are the same.
1. Booking
You will book seats as a group if you have minimum of 10 people. You will receive 1 free (but you must pay taxes and fees) per 16 people. If you book 32 seats, 2 seats are free. Everyone must take the same flights and same class of service for the entire itinerary.
2. Confirmation
When your group seats are available, you must pay NON REFUNDABLE deposit of $100 per person immediately to receive confirmation from airline.
Once seats are confirmed, you can not add seats. For example, you booked 30 seats with 1 free. After confirmed, you can not get 2 free by adding 2 more seats (total 32 seats). Any additional seats less than 9 must be booked separately and can not be combined.
3. Guarantee
Once airline received your deposit, your airfare (excluding taxes and fees) is guaranteed. Unfortunately, as other said, your group airfare does not necessarily cheaper than airfare available online. After you booked seats as a group, and even if you find cheaper airfare online, airlines does not lower your group fare.
4. Names
You don't have to give passenger names right away. You may hold seats without names until about 60 days before departure.
5. Seat Assignment
You may request seat assignment every time you send name(s) to airline.
6. Cancellation
You may cancel up to 10% of seats you booked without penalty by about 60 days before departure. For example, if you booked 45 seats, you may cancel up to 4 seats without penalty.
7. Final Payment
You must pay in full by about 60 days before departure. After that, no cancellation or no name changes are allowed. There is no refund for any unused seats, and airline resells those seats.
8. Check In
You must check in as a group at the same time at group check in counter at the airport.
NOTE: This may be changed and each airline has a different policy.
